Privacy Policy

Information we collect

To provide the Service, we collect:

• Account information: your name, email address, and the Google Workspace domain you authenticate from, provided via Google Sign-In.
• Coaching data you create: client profiles, session notes, goals, success metrics, action items, and other information you enter into the application.
• Session audio and transcripts: when you record a coaching session, we capture the audio, convert it to a transcript, and store both for the purpose of generating summaries and reports.
• Emails you draft or send: emails composed within Campbell that you send to clients or sponsors are stored in our audit log for 90 days for your reference and for debugging purposes.
• Usage data: basic logs of how the Service is used (e.g., feature access, error reports) to help us improve reliability.

How we use information

We use the information we collect to:

• Provide and operate the Service.
• Generate AI-powered transcripts, summaries, and reports based on your session content.
• Send emails on your behalf when you explicitly authorize a send.
• Diagnose technical issues and improve reliability.
• Comply with applicable legal obligations.

We do not sell your information. We do not use your information for advertising. We do not train AI models on your data.

Google API Services User Data

Campbell uses the Google Gmail API with the gmail.send scope to send emails on your behalf. We do not read your email, manage your inbox, or modify your existing Gmail content. The only Gmail operation Campbell performs is sending messages that you explicitly compose and approve within the application.

Campbell’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not transfer this data to third parties except as necessary to provide the Service or as required by law, do not use it for advertising, do not allow humans to read it unless we have your affirmative agreement for specific messages or as required for security or legal purposes, and do not use it for purposes other than providing the Service.

Third-party services we use

To operate Campbell, we rely on the following service providers, each governed by their own privacy policies:

• Supabase — database and authentication infrastructure.
• Render — backend application hosting.
• Vercel — web hosting for this site.
• Anthropic — AI summary, report, and content generation (Claude).
• Deepgram — real-time speech-to-text transcription.
• OpenAI — post-session transcript cleanup (Whisper).
• Google — authentication and email sending (via Gmail API).

Information shared with these providers is limited to what is necessary to deliver each integration.

Data storage and security

Your data is stored in encrypted databases. Authentication tokens are encrypted at rest. All network traffic between Campbell and our servers is encrypted via HTTPS. Access to production systems is restricted to authorized personnel.

Data retention

• Account information is retained until you delete your account.
• Coaching data (client profiles, sessions, transcripts, summaries) is retained until you delete it or your account is closed.
• Email audit log entries are retained for 90 days.
• Backup copies of deleted data may persist for up to 30 days before permanent removal.

Your rights

You may:

• Access and export the data you have created in Campbell.
• Delete your account and associated data at any time by contacting derek@addictiveleadership.com.
• Revoke Campbell’s access to your Google account at any time via your Google Account permissions page.

Children’s privacy

Campbell is intended for use by professional coaches and their adult clients. It is not directed at children under 18, and we do not knowingly collect information from children.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date above and, for material changes, notify active users by email.
